Project overview

We are looking for an HR Administrator to support our Human Resources department. Your primary responsibilities will involve maintaining personnel records, managing HR documents (e.g., employment records, contracts, onboarding guides), and ensuring the accuracy of internal databases, particularly within Zoho People. This role requires a proactive approach in handling day-to-day HR administrative tasks, assisting with system optimizations, and maintaining smooth HR operations.

Requirements

  • 1+ years of work experience as an HR Administrator, HR Administrative Assistant, or a relevant role in an IT company.
  • Proficiency with HR software, particularly Zoho People.
  • Strong computer literacy (MS Office applications).
  • Excellent attention to detail and passion for working with data.
  • Strong organizational skills with the ability to prioritize important tasks.
  • Excellent written and verbal communication skills.
  • Intermediate level of English.

Responsibilities

– Document Management: Prepare and manage employment contracts, NDAs, additional agreements, and codes of ethics for both new and resigning employees.
– Zoho People Management: Maintain and optimize the HR system, including setting up work schedules, tracking attendance, checking leave balances, and ensuring accurate record-keeping.
– Reporting: Regularly compile reports on employee working hours, leave balances, and accruals in Zoho, ensuring data accuracy for monthly reports.
– Leave Management: Regularly update and adjust vacation and sick leave balances for part-time and hybrid employees, and manually track special hours (e.g., breastfeeding/pregnancy hours).
– Data Accuracy: Perform quality checks of employee profiles and records, ensuring emergency contact fields and other vital information are accurately maintained in Zoho People.
– Onboarding: Manage the end-to-end onboarding process, including preparing first-day agendas, sending invitations, conducting onboarding calls, and setting up profiles in Zoho People.
– Employee Relations: Communicate with employees on reporting discrepancies, coordinate National Holidays in calendars, and assist in data collection and analysis as needed.
